Salary Range: $19.81/hr. - $25.90/hr.

Responsibilities:

This position answers to the Director and will be assigned various duties both some that are directly the responsibility of this position and some that support other staff in their efforts.
The principal duties for this position include: 

  • Performs advanced administrative support and project management duties to include: project supervision, coordinating special projects and conducting research.
  • Provides exceptional engagement with internal and community partnerships, including, but not limited to: emergency management; police; fire; hospitals; volunteer agencies; businesses and industry; churches; long-term care facilities; veterinarians; rehabilitation services; daycare providers (adult and child); schools; special population services, laboratories.
  • Provides customer service and responds to customer complaints or requests for information including FOIA and Tier II EPCRA requests.
  • Assist in training and exercises for employees, community partners, and volunteers.
  • Assess the need for supplies and equipment and maintain adequate inventory.
  • Provides project supervision which includes: facilitating and participating in staff meetings; assisting with special projects and work assignments; and maintaining and tracking deadlines and project completion of assignments.
  • Working with the Finance, Purchasing, and the UG department or outside agency requesting grant reimbursements. This would include initial application, obtaining approval for all purchases, submitting all needed documents, answering all questions from the granting authority, and maintaining all documents.
  • Processes payroll, invoices and purchase orders. Maintains records of all transactions and enters them into Workday. 
  • Planning and creating new programs and initiatives.
  • Compiles and maintains statistical information and creates a variety of reports for the department, Client, and State and Federal entities by determining how to efficiently obtain data needed for report and determining statistical parameters of report.
  • Maintains inventories of office equipment, supplies and forms and reorders supplies as necessary, which includes approving requisitions and purchases of supplies and materials.
  • Tracks departmental personnel records and supervises record retention and disposal.  
  • Monitoring compliance with rules, policies, and regulations (both internal and external). 
  • Able to respond to the EOC as required on a 24/7 basis to support EOC activation of Level 2 or 1.
  • Preparing and administrating contracts for service.
  • Providing exceptional customer service for inquiries and complaints, including providing all necessary follow up to resolve identified issues.
  • Is willing to accept and perform any additional duties assigned to meet business needs.

Qualifications:  

  • Three years of progressively responsible administrative support experience in area of assignment; or any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.

Physical Requirements (Position Requirements at Entry):
  • Positions in this class typically require:  reaching, fingering, grasping, talking, hearing, seeing, and repetitive motions.
  • Sedentary Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
  •  Sedentary work involves sitting most of the time.  Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Education: 

  • Associate’s Degree in field related to area of responsibility.

Travel Requirements:  

This position will involve no travel.
