Responsibilities:

The following duties are illustrative for this position. The omission of specific duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.  

  • Keeps the mission, vision, and values of the client at the forefront of decision making and action; builds strategic and collaborative relationships and interacts with others in a way that builds confidence and trust; provides excellent customer service by taking action to accomplish objectives, maintains high levels of work and productivity by generating innovative solutions to work situations.
  • Assists with the development, direction, and administration of the department.
  • Initiates and carries to completion special projects, including estimating, construction, and remodeling.
  • Exercises considerable initiative and independent judgment in the performance of duties.
  • Draft high-level reports, business plans, bid specifications, and procedure manuals. 
  • Participates in the formulation, implementation, and enforcement of divisional policies and procedures.
  • Makes procedural and operational recommendations to the Director.
  • Review bid specifications, proposals, and project contracts.
  • Prepares for and presents to various boards and agencies, including City Council.
  • Acts as liaison with other City Departments for high-level facility-related initiatives.
  • Assists in the preparation and implementation of vendor contracts and in-house produced event contractors.
  • Participates in the development and administration of the division budget; assists in tracking revenue and expenditures. 
  • Identifies and makes recommendations for improvements and enhancements to programs to increase revenue and reduce expenses.
  • Directs all safety and emergency response training; implements standard operating procedures; ensures all laws, codes, and ordinances are followed.
  • Implements procedures within the department to establish and maintain customer service standards.
  • Directly manages the Deputy Director of Operations, Operations Administrator, and is responsible for the management of event support and maintenance staff through support leadership.
  • Interacts and communicates with the Special Events Administrator, for overall event execution.
  • Represents the department on various committees and groups as assigned by the Director.
  • Directs the department in the absence of the Director.
  • Works flexible and extended hours, including nights, weekends, and holidays, in addition to normal business hours.
  • Other duties as may be assigned

Supervisory Responsibilities:

  • Carries out supervisory responsibilities in accordance with the City’s policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees addressing complaints, and resolving problems.

Education and Qualifications:  

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Graduation from an accredited college or university with a Bachelor’s Degree. A minimum of five (5) years’ of venue management industry experience with at least three (3) of those years in a high-level, senior management function in a similar venue is required. 
  • Possession of a valid Florida driver's license and maintenance of a clean driving record required.

A comparable amount of training, education, or experience may be substituted for the minimum qualifications.

Knowledge, Skills and Abilities:

  • Excellent communication and interpersonal skills and organizational ability.
  • Demonstrated knowledge of the principles and practices used in the successful management of event facilities.
  • Ability to anticipate problems and implement immediate corrective action. 
  • Ability to remain flexible and adjust to situations as they occur.
  • Ability to perform effectively under significant pressure typically associated with meeting the demands and timetables of the event industry.
  • Strong orientation towards customer service and delivering on our contracted obligations for each event.
  • Knowledge of venue operating standards, building maintenance, custodial, event services, and production.
  • Ability to effectively supervise staff.
  • Ability to present oneself professionally in appearance and work ethic.
  • Skill in computer software including but not limited to Microsoft Office suite, Excel, and venue management programs.
  • Ability to work flexible and extended hours, including nights, weekends, and holidays, in addition to normal business hours.
  • Ability to establish and maintain effective working relationships with employees, our customers, and the public.
  • Ability to communicate effectively in writing and orally.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit, talk, hear, and use hands to finger, handle, or feel. The employee is frequently required to walk and reach with hands and arms. The employee is occasionally required to stand and stoop, kneel, and crouch. May spend long hours walking or standing. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

While performing the duties of this job, the employee is regularly exposed to outside weather conditions that may be adverse and extreme (heat, humidity, cold, rain, etc.). The noise level in the work environment is usually moderate to loud.
